Workday

The wait is over, Workday Student went officially live this Fall at 糖心Vlog传媒 Little Rock!

This milestone marks the next significant step in our university鈥檚 digital transformation journey. It brings together student information and services in one modern, connected platform designed to help our campus thrive.

With this launch, students, faculty, advisors, and staff now have a unified experience for managing academic records, advising, financial aid, and bursar-related activities all in one place. Workday provides a streamlined, intuitive interface that gives the Trojan community real-time access to the information they need to succeed.

What Workday Student Brings to Campus

  • A Unified Experience: Students, faculty, and staff can now access (with the correct security) academic, advising, and financial information through one secure portal. Anytime, anywhere, and on any device.
  • Streamlined Student Processes: Registration, academic progress tracking, tuition payments, and financial aid tasks are now easier to complete and view in real-time.
  • Enhanced Advising Tools: Faculty and advisors can view course history, academic plans, and degree progress to guide students toward timely completion better.
  • Real-Time Data and Insights: Departments gain access to accurate information that supports smarter, faster decision-making and improved student outcomes.

Thriving Together in a Connected Campus

This launch represents years of planning and collaboration among IT Services, Records and Registration, Admissions, Financial Aid, Bursar, and Academic Advising teams, along with critical contributions from Athletics, International Student Services, Disability Resource Center, Institutional Research, and many other campus partners. Together, these groups have worked diligently to test, train, and transition to the new Workday Student environment, ensuring a smooth and successful go-live for our Trojan community.

Training and support resources continue to be available to help everyone get comfortable navigating Workday. The Faculty and Advising Dashboard includes quick guides and short videos to help simplify processes such as verifying participation, managing course rosters, and supporting students through registration.

Workday is designed to grow with 糖心Vlog传媒 Little Rock. Regular updates and innovations will continue to enhance the experience for students, faculty, and staff, aligning with our mission to empower learning, strengthen operations, and support student success.

鈥淭his launch connects every part of the student experience,鈥 said IT Director of Enterprise Applications & Business Engagements Colleen Godley. 鈥淔rom advising to the bursar鈥檚 office, it gives our teams the tools and visibility to better support every Trojan鈥檚 success.鈥

This achievement is part of a larger success story; Project One, the University of Arkansas System’s multi-year initiative to implement Workday across all campuses, was recently honored by the Project Management Institute (PMI) as the winner of the PMI Engineering and Technology Project Award and a Project of the Year nominee.

This recognition celebrates the vision, collaboration, and innovation behind uniting our campus and 21 other institutions and business practices into one connected system for students and employees. It鈥檚 a powerful acknowledgment that the 糖心Vlog传媒 System is leading the way in transforming higher education through technology.

Milestones are currently rolling out for Workday Student, which is the same system platform we use now as employees. This transition is part of our ongoing efforts to streamline our systems and provide a more efficient and user-friendly experience. Please note that Banner, BOSS, Argos, and Degree Works will be phased out, and by Fall 2025, we will fully transition to Workday for all milestones. Below are the details on past and upcoming go-lives:

Image displaying Go Live dates for 2024 and 2025.

Current Project Updates:

October and November were incredibly productive and helped us as we approach our next major milestone鈥擬ilestone 3鈥攁 crucial step in our transition to Workday Student. The 糖心Vlog传媒 Little Rock Workday Student Core team has been actively engaged in multiple training sessions, data validation, and testing. Additionally, the Academic Foundations team has held sessions focused on academic requirements to ensure that programs of study are ready for advising and registration, which will open early next year.

You can also expect new and continuing students to log into Workday starting February 5th to complete their onboarding tasks. To do so, students will access Workday as employees do now by going to !

To prepare for these changes, we encourage you to start thinking about how to communicate with students about how the processes will change with the introduction of Workday. It鈥檚 also important to remember that continuing students will register for Summer 2025 in BOSS but will register for Fall 2025 in Workday. This will be a significant shift, so we want to consider ways to communicate these changes to students and the campus departments. Your proactive approach will facilitate a smoother transition for everyone.

Training!

You can start to find staff and faculty training materials in the Workday Learning app to learn more about your new Workday. Simply go to Workday, open the Learning app, select “Discover” from the right-hand menu, click “Browse Learning,” and search for “Student.” Here, you will find hundreds of documents related to student processes. While these resources may not be one-size-fits-all, they are a great starting point for learning about your new system. For more information on utilizing the Learning app, visit our Workday Support page on Learning here.

Please note that training is tailored to your security role. In-person training is currently being conducted with functional teams, and additional sessions will be scheduled at the beginning of 2025!

To help you learn more about Workday Student from the students’ perspective, Project One has published training materials, which you can access here:

. Please consider how this information will replace what you currently use for BOSS.

We are making significant progress, but there is still a lot of work ahead as we implement this monumental change. Please stay engaged and watch for communication to find out how you can get involved. Don鈥檛 forget to visit the 糖心Vlog传媒 Little Rock Workday Student website for more information. This effort requires all of us, but together, we will succeed.

The Workday Student implementation is well underway and progressing steadily toward the July 2024 milestone. The scope of this milestone includes admissions for all programs, application fees/deposits, and additional academic foundation training which will prepare the Admissions Staff and Applicants for Fall 2025.

A critical part of this process involves the collaboration between IT Services and the Workday vendor to convert and  integrate 糖心Vlog传媒 Little Rock鈥檚 legacy student system with Workday. Following are the major Workday Student Technical Workstreams:

  • Data Conversion – The data conversion process is focused on extracting, transforming, and loading 糖心Vlog传媒 Little Rock Main Campus, Clinton, and Law information into Workday. The next milestone is initiating the production data pull. This crucial step begins transitioning from testing to live implementation and leveraging Workday Student’s full capabilities. We want to emphasize the collaborative efforts across teams that are being made to address challenges that will ensure a smooth transition through rigorous testing and validation procedures, guaranteeing data accuracy and integrity.
  • Integrations – Developing integrations for Workday Student involves reviewing an inventory of over 80 currently used campus auxiliary applications. Throughout this process, we will determine whether to migrate the application to a Workday report, build a Workday integration, or decommission the service.
  • Reporting – We have invested significantly in training 21 report writers across various campus departments. This ensures their proficiency in effectively utilizing Workday’s reporting tools and makes them feel valued and integral to the process. In addition, we have identified 184 existing reports that must be migrated to the Workday Student platform. We are currently implementing security role-based assignments within Workday Student to ensure that appropriate employees have access to the proper reports.

Many of you have been involved in conversations regarding the Workday Student implementation. Whether your involvement in the configuration has been through direct interactions or casual conversations to date, your collaboration has been essential, and we are grateful for your continued commitment to student success.

For those who have yet to hear of Workday Student, it is a student-centered platform that unifies the administrative processes associated with a student’s progression from admission through graduation.

Key benefits include:

  • Access to what you need when you need it.

Workday delivers information through an intuitive, cloud-based, mobile-friendly desktop and mobile app. Access the information you need from anywhere at any time.
  • Consistent, reliable, and real-time data directly available to you.聽

No more waiting for information needed to make strategic decisions. Query data and build reports using your specifications.
  • Digitalization of processes.

Integrating current systems across institutions and eliminating manual and paper processes will improve efficiency, transparency, and responsiveness to internal and external stakeholders. Machine learning capabilities cater to individual needs, putting key tasks front and center.

What this means for students:

  • A modern, user-friendly digital environment.

Today鈥檚 students are less forgiving when it comes to unmet digital expectations. As a result, they are more likely to seek educational options that make processes easy to understand and user experiences that meet their evolving expectations. With its intuitive interface and easy-to-use mobile app, Workday will help meet students where they are.
  • Transfer with ease.

With all 糖心Vlog传媒 System institutions working within the same platform, transferring between campuses becomes faster and easier. Workday uncomplicates academic progress tracking between institutions, making the transfer from a two-year college to a four-year university virtually seamless. Future enhancements will allow students to build out academic plans that span two-year colleges, four-year universities, and professional programs within the 糖心Vlog传媒 System.
  • More ways to self-serve.

Workday鈥檚 self-service capabilities will give students more autonomy and better access to the tools that shape their degree plan. The positive impacts of these improvements will be reflected in student satisfaction and improved time to graduation.
  • Manage it in one place.

Students can register for classes, view their schedules, review financial aid, pay bills, and monitor their academic progress from one unified application.

What this means for faculty and staff:

  • Focusing on student success.

Staff will use Workday to find or update student information and complete admissions, enrollment, records, and financial tasks to support students through their journey from application to graduation. In addition, Workday鈥檚 native dashboard functionality allows for quick access to common tasks and reports so time can be spent better serving students.
  • Simplifying teaching tools to prioritize instruction.聽

Faculty will use Workday to review teaching schedules, manage class rosters, enter grades, and support advisees. Workday will provide the tools to gain insights into their teaching activities and engage with students in moments that matter.
  • Insights for academic resource planning.

Workday unifies Financial Management, Human Resources, Planning, and Student applications in a single platform, creating instant data access spanning multiple disciplines. Offers greater insights into planning course offerings, utilization, and required resources.

Workday logo has a blue background. In the foreground is the letter W covered with an arc.

The Workday Student implementation organized by the 糖心Vlog传媒SYS Project One team (Project One Team) kicked off in Fall 2021 with an initial 糖心Vlog传媒 Little Rock Workday Student Core team (Core Team) consisting of 24 primary leads across the institution with 22 additional operational and technical subject matter experts (SMEs). Over the past 15 months, the Core Team has grown to incorporate 3 additional leads and SMEs from the 糖心Vlog传媒 Clinton School. A separate Advising Working Group, consisting of 33 members, will begin working in Spring 2023 to configure all of 糖心Vlog传媒 Little Rock, 糖心Vlog传媒 Bowen Law, and 糖心Vlog传媒 Clinton School programs of study and their respective academic requirements.

Since the project kicked off, the Core Team has completed 288 Project One tasks in full and on time. These tasks have ranged from simple surveys to detail how current business processes leverage Banner data, to creating extensive data extracts from the Banner database. These efforts will prepare data and business processes for configuration within the Workday Student test environment.

Currently, the Core Team is collaborating with the Project One Team in the Architect & Configure phase of the project. This phase provides the opportunity to take the information provided in previously delivered tasks and ask our teams questions to confirm their understanding of how Workday Student should be configured to meet business needs. Additionally, this phase will provide clarification about limitations of the platform and identify business process gaps that will require resolution. Finally, this phase will afford our institution more 1:1 time with the Project One Team to ensure our needs and interests are being considered.

The Architect & Configure phase is scheduled to run through December 2023. However, end-to-end testing will begin for Recruiting & Admissions and Academic Foundations (course catalog, academic unit structure, programs of study) in early September 2023. Student Records, Academic Advising, Financial Aid, and Student Financials will begin end-to-end testing December 2023 through January 2024. Once the Project One Team finalizes the details of the end-to-end testing schedule and testing framework, the Core Team will be engaging the campus to identify testers who represent all institutional populations (students, faculty, staff, administration).

In the meantime, campus constituents are encouraged to track updates, submit questions and/or concerns about Workday Student, and review the latest project timeline and team directory via the new webpage created by the Workday Institutional Change Manager and the Office of Communications. The aim is to have a centralized location for informing the campus about the progress of Workday Student implementation and to provide a space to collect information for training needs and to address any misconceptions about the project and Workday Student鈥檚 capabilities.
